The Guvaza Imperial Institute (“TGII”, “we”, “us”) is committed to protecting the privacy of our students, parents, teachers and staff. This policy explains what data we collect, why we collect it, and how we keep it safe.

What data we collect

  • Account information: name, email address, phone number, role (student/parent/teacher/admin).
  • Student records: enrolment details, academic progress, attendance, assessment results, report cards.
  • Application data: information provided during the admissions process, including previous school reports.
  • Payment information: invoice and payment records. We do not store card numbers — payments are processed securely by Stripe and Paynow.
  • Usage data: anonymised analytics (page views, device type) to improve the platform. No third-party trackers are used around children.

How we use your data

  • To manage enrolment, classes, assessments and reports.
  • To communicate with you about classes, fees and school matters.
  • To process payments and issue receipts.
  • To comply with educational regulations.

How we protect your data

  • All data is encrypted in transit (HTTPS/TLS) and at rest.
  • Row Level Security ensures each user sees only their own data (or their children’s).
  • Children’s accounts are managed by parents — no child self-registration.
  • No student-to-student messaging is permitted.
  • Access is logged and auditable.

Data retention

Student records are retained for the duration of enrolment and for a reasonable period thereafter for academic and legal purposes. You may request deletion of your data at any time by contacting the school office.

Your rights

  • Request a copy of your data.
  • Request correction of inaccurate data.
  • Request deletion of your data (subject to legal requirements).
  • Opt out of non-essential communications.
